Privacy Policy

We take the privacy and security of your personal information very seriously. This document outlines what information is gathered by e3 Software and how that information is used. One of the most common privacy-related questions we receive relates to the privacy and safekeeping of customer email lists. Let us be clear: we do not (and will never) harvest, sell, rent, lease, or share customer email lists with any third party. Earning and keeping your trust is priority number one. Information We Collect and How it is Used

Unlike most cloud services, we strive to limit the amount of personal information we collect from our customers. The following sections outline what information is collected and what it is used for.

Account Information

When you sign up for a Direct Mail account, we collect your name, email address, password, and optionally your company name and website address. You may update this information at any time via your Direct Mail account control panel. This information may be used to communicate with you regarding customer support issues, billing issues, or to send system alerts or notices. Your email address may be shared with our third-party customer support tool in order to communicate with you regarding customer support issues.

Billing Information

If you purchase services from e3 Software, we require that you provide us with certain billing information that is personal to you ("Billing Information"). Billing Information may include your credit card number, credit card expiration date, security code, and postal code. At the time of purchase, the Billing Information is securely transmitted directly from your computer to our payment processor, Braintree. Braintree, a subsidiary of PayPal, is a validated Level 1 PCI DSS compliant service provider with strict privacy and security controls. At no time during the purchase process is sensitive Billing Information transmitted to or stored on our servers. Recurring billing and the "Remember my card for next time" feature in Direct Mail use secure credit card tokens which reveal no information about the cardholder or card itself.

Email Tracking Information

When you send a message with the email tracking feature enabled, the following data is recorded on our tracking servers each time a recipient views your email or clicks a link in the email:

  • The campaign's unique identifier
  • The recipient's email address
  • The recipient's unique identifier
  • The URL that the recipient clicked on
  • The date and time of the interaction
  • The geographic location of the interaction
  • The recipient's user agent
  • The recipient's IP address

This data is kept secure and is used only for reporting delivery statistics in the “Reports” tab of Direct Mail. If you do not use the “Track email opens and clicks” feature, no data is sent to our tracking servers when a recipient views your emails or clicks a link.

Project Data

When you use the Direct Mail application, a Direct Mail Project file is created to save your data ("Project Data"). Project Data includes message content, mailing lists, design test, campaign reports, autoresponder settings, and related settings.

If you move your Direct Mail project to the cloud, then all Project Data will be stored securely on our servers. Please see our security page for more information about how that data is protected. Project Data is not accessed by e3 Software except by a limited number of authorized individuals, and only when assisting customers resolve support issues. Project Data is never shared with any third party.

If you do not move your Direct Mail project to the cloud, then all Project Data remains on your own Mac and is thus not accessible to e3 Software at all, except as described below.

If you use the subscribe form feature, Direct Mail automatically creates a web page to allow people to add or remove themselves from your mailing list. When someone subscribes to your mailing list using the subscribe form you created, that data is securely recorded on our servers and then synced to Direct Mail running on your Mac. If the subscriber wishes to remove themselves from your mailing list, they can do so at any time via the "unsubscribe" link that is included in the email campaigns you send them. Unsubscribe information is recorded on our servers and then synced to Direct Mail running on your Mac.

If you use the image hosting or design test features of Direct Mail, a copy of the images contained in your email campaign are uploaded to a secure, third-party content distribution network. This is done to allow your recipients to see the images in your message when they open the email, and to allow design tests to accurately render screenshots of your message in various email clients.

If you use the message hosting feature of Direct Mail, a copy of your email campaign content is uploaded to a secure, third-party content distribution network. This is done to allow your recipients to view a copy of your message in their web browser if their email client is unable to render it properly.

e3 Delivery Service

If you use e3 Delivery Service to deliver your messages, then a copy of your email campaign and mailing list(s) are transmitted to our servers. e3 Delivery Service uses this data to send your email campaign. Once the campaign has been sent, this data is deleted from our servers. Email delivery log files are retained for a period of time for quality-of-service purposes.

Email Campaign Reports

When you send an email campaign, Direct Mail will transmit certain performance statistics to our servers to help us improve future versions of the software. These statistics do not include any content from the message body itself or the contents of your mailing lists. Statistics do include such parameters such as delivery method, elapsed delivery time, message type, message size, etc.

Application Usage Data

We may collect anonymous data about how you use Direct Mail in order to improve the application and our online services. No personally identifiable information is ever gathered or transmitted from your device. Usage data is not associated with your Direct Mail account or IP address. You may disable the collection of usage data in Direct Mail's Preferences window.

Advertising

The directmailmac.com website uses Google AdWords remarketing, demographics, and interest reporting features to advertise Direct Mail across the Internet. After visiting our site, Google may choose to show you advertisements related to Direct Mail as you browse other websites in Google's ad network. Google may store cookies on your computer in order facilitate this feature. You may opt out of this advertising by visiting Google's Ads Settings.

We may share some customer information with third-party advertising partners to help us better understand our users and to serve relevant advertising to them and others like them.

Analytics

The directmailmac.com website uses third parties cookies, web beacons, and similar technologies to collect or receive information in order to provide measurement services and target ads. You may opt-out of the collection and use of this information.

Design Tests

If you use Direct Mail’s design test feature, the contents of the message you have selected for the test will be transmitted to our design test service partner, Litmus. Please visit their website for information on their security and privacy policies.

Google Sheets

If you use the "Import from Google Sheets" feature, you will be prompted to authenticate with a Google account. This is required in order to (1) display a list of spreadsheets from your Google account that can be imported and (2) download the contents of the spreadsheets that you choose to import. Direct Mail accesses spreadsheet data from your Google account only during the import process. Your Google account data is not stored on your Mac or in the cloud, it is not sent to any servers, and it is not shared with anyone. Direct Mail does not access, record, or store your Google account password.

Additional Use and Disclosure of Personal Information

Please be aware that e3 Software may be required to disclose an individual's personal information in response to a lawful request by public authorities, including to meet national security or law enforcement requirements. Under certain circumstances e3 Software may remain liable for the acts of Third Parties who perform services on our behalf for their handling of Personal Data that we transfer to them.

We may also use and disclose personal information to check for customer compliance with our Terms of Use and to respond to billing inquiries or disputes.

Access

We will give an individual access to any personal information that we hold about them within 30 days of their request for that information. Individuals may request to access, correct, delete, or limit the use of information we hold about them by contacting us here. We do not charge a fee for the processing of these requests.

e3 Software acknowledges that EU and Swiss individuals have the right to access the personal information that we maintain about them. An EU or Swiss individual who seeks access, or who seeks to correct, amend, or delete inaccurate data, should direct their query to our support team. If requested to remove data, we will respond within a reasonable timeframe.

General Data Protection Regulation (GDPR) and Cross-Border Personal Data Transfers

e3 Software complies with requirements set forth in the GDPR, and Direct Mail can be used lawfully from all EU member states. For in-depth information about GDPR compliance, please see this help article.

Security

We take prudent, reasonable, and industry-accepted measures to protect your personal information from loss, misuse, or unauthorized access. Please see our security page for more information.

In the event of a security breach that exposes your personal information to unauthorized third parties, we will notify you as soon as possible via the email address associated with your Direct Mail account.
